Deposit & Confirmation Deposit :

We only require a deposit 25% of total tour cost to confirm and secure your booking. But this percent and amount is subject to change. It could possibly be lower, or higher depending on itinerary, trip category and duration. Your personal travel consultant will adjust the amount accordingly.

  • We accept online payment through gateway.
  • Either by Cash/Cheque/Demand draft.
  • Electronic money transfer.
  • In case of payment through credit card, the bank charges (3% extra) – would be levied over and above the total amount.

Note:

  1. All payments should be free and clear of any withholding tax and deduction.
  2. Bank charges/ Payment gateway charges, if any, for remittance (by remitting bank or by intermediary bank) would be strictly borne by passenger.

Final & Balance Payment:

  • The final balance & full payment must be paid no later than 10 days prior to departure depending on the trips.
  • If the deadline for the remaining payment is exceeded, we reserve the right to cancel any reservation or there is no guarantee against otherwise unnecessary changes.
  • Please note that some tours can be have different conditions for payment and cancellation as highlighted on your tour program.
  • If you would like to use credit card for your balance payment, it’s acceptable by adding 3% of bank charge on the transaction amount.

Cancellation:

We would deeply regret your decision of cancellation of tour or travel services due to any reason; you are requested Please inform us in writing. Cancellation charges would be effective from the date we receive letter in writing and cancellation charges would be as follows:
Cancellation charges for any mode of transport ticket are applicable as per the rules of the concerned authority.
Air ticket issued on special fare are non-refundable and the guest shall bear cancellation charges.

Group Size & Terms

Group Tours
arrow If the reservation is cancelled 30 days prior to the date of arrival – 90% may be refunded (except the transaction charges).
arrow If the reservation is cancelled 15 days prior to the date of arrival – 50% of the may be refunded (except the transaction charges).
arrow If the reservation is cancelled 07 days prior to the date of arrival – 25% of the may be refunded (except the transaction charges).
arrow If the cancellation is any later than the above stated period or in case of ‘No Show’- No Refund.
arrow No refund or any changes will be accepted at last minute for tour starting or after starting or middle of the tour.

Individual Tours (FIT Tours)
Cancellation policy of Individual tours is subject to changes. It depends upon the cancellation policy of the respective hotels and other service operators your tour is associated with. Different hotels and service operators have different cancellation policies which we are required to abide by. In the unfortunate event of cancellation of trip by guests, we would charge 10 % of total booking amount as processing charges + the charges levied by the corresponding service providers.

Please Note:

arrow For high peak season bookings (from 20th Dec to 15th Jan) – please note that if the booking for high peak season is/are cancelled, due to whatsoever reason, no refund would be made for said cancellation.
arrow During “Peak-Season,” which is defined by the density of tourist inflow in each region, and may vary from place to place and hotel to hotel, any particular hotel may implement a different cancellation policy. The travel agent is bound to follow the hotel specific cancellation policy; and in case of variation from the above-stated policy, the excess in cancellation charges will be borne by the client and not the travel agent.
arrow In case you cancel the trip after commencement, refund would be restricted to a limited amount that too would depend on the amount that we would be able to recover from the hoteliers we patronize. For unused hotel accommodation, chartered transportation and missed meals etc. we do not take any guarantee to refund.
arrow Modifications/Cancellations sent directly to the hotel will not be honored.
arrow In regard to unused or unutilized services (which are paid for and cancelled well in advanced) the refunds amounts would be worked out on the basis of cancellation policy as described above, any refund against a payment received through a Credit Card, will be made on the same credit card only. Please note that the refund process may take 2 to 8 weeks due to banking procedures.
arrow No deductions will be made for the refunds (except the transaction charges), which are made due to unavailability of services. If the services requested are unavailable during the requested period, we will offer similar alternatives well before the commencement of the services and if the client does not find the alternatives acceptable, the advance will be refunded. However, once the alternative service is accepted by the client, cancellation of the same will be subject to the above-stated cancellation policy.
No Refund for Unused Services
arrow It is clearly understood that there shall be no refund or compensation whatsoever for unutilized services. This general rule applies to all kinds of non-utilization or under-utilization of tour services, whether of the whole or part of the tour and whether as a matter of your choice, or caused by your fault or compelled by circumstances such as ill-health, weather, external factors etc.
arrow There will be no refund if you fail to or are unable to utilize any of the services on the tour like airline travel, hotels, sightseeing, rides, cruises, meals, entrance fees, optional tours etc due to any reason whatsoever such as late reporting, ill-health etc.

Amendment Fee

A minimum fee of Rs. 2000 applied when changes are made to an existing booking (per change).

The following constitute as an amendment to a tour:

arrow Changing guest name
arrow Changing itinerary
arrow Changing no of person
arrow Changing no. of Rooms
arrow Removing / replacing a guest
arrow Adding / replacing a guest

Special Requests :

You must let us know at the time of booking if you have any special requests or needs (such as ground floor accommodation, disability access or specific dietary requirements). We will try our best to fulfil any requests made by you however, we cannot guarantee that we will be able to accommodate every person’s need and we make no promises and take no responsibility for special requests which are not fulfilled. If we feel that we are unable to accommodate your particular needs then we hold the Full right to decline the booking and suggest you someone more particularly helpful.

Health Issues :

At the time of booking you are requested to inform us by email or in Writing of any physical, emotional or mental condition, which may require attention during the travel.

Moreover please get check-up and suggestion of your doctor before commencing the Tour.

Liabilities and Responsibility :

Your booking is accepted on the understanding that you realize the inherent risks and hazards of the tours and agree to take responsibility for your actions and safety.

Chardham tour does not take the responsibility of the information on the website. Final and correct information will be on your tour program as confirmed with us.

We shall not be responsible for any wrongful or negligent or fraudulent, omissions, changes of itinerary, cancellation or the failure of any equipment operated by suppliers or any other party not directly owned or controlled by Chardham tour.

Chardham tour shall not be liable for any loss, injury, or damage to person or property, alteration of itineraries or cancellation in part or in full, caused by climatic conditions, fire, acts of government or other authorities, wars whether or not declared, civil disturbances, strikes, riots, thefts, epidemics, quarantines, medical or customs regulations, terrorist activities, technical problems on transport, closure or congestion of airport or ports, cancellation or change of scheduled airlines or any other actions, omissions or conditions beyond Chardham tour control.

We are not responsible for a client’s failure to comply with customs regulations.

All itineraries are as written, but reserve the right to alter these due to any unforeseen circumstances, and will notify you of any changes as soon as possible. If Chardham tour has cancelled any tour prior to the commencement of the tour, Chardham tour is liable for a full refund of the money received from the client.

Many of Our tour packages include activities which require care and attention. Such activities includes horse riding, climbing hills, and hiking through ice melted canyon etc. You will receive help and advice from our representatives but all activities are undertaken at your own risk. Chardham tour and its employees and agents cannot be responsible for any action or event that occurs after its said employees and agents have exercised their duty and taken the necessary care.

On the tours it is necessary that you agree to abide by the authority of the tour guide who will be working to ensure the safety and welfare of the group. Any action that jeopardizes this may result in you being asked to leave the tour with no right to a refund or any compensation.

Special requests and any medical issues or conditions must be brought to our attention at the time of booking. We cannot be held liable for any actions or events that could have been avoided with proper disclosure of information.

Chardham tour is not responsible for the theft or loss of any customer’s valuables or items of personal property due to the negligence of the clients.

Personal property is always your own responsibility, as is ensuring that you have all the appropriate passport and visa requirements for the duration of the trip.

Smoking is not permitted in any vehicle.

Before the commencement of the tour, you must arrange your own insurance with an insurer, with protection for the full duration of the tour, to cover personal injury, medical expanses, repatriation expenses, loss of baggage and the expenses associated with cancellation or curtailment of the tour. If you become ill during the tour, all hospital expenses, doctors’ fees and repatriation costs are your responsibility and we shall not be liable for any refund of the tour cost.

Complaints & Grievances:

If the passenger has any complaint in respect of the services provided by us, the passengers must tell them immediately to your guide / leader or concern person at the moment to resolve the problem ASAP. Any claim or complaint by the passenger must be notified to the company in writing within seven days after the tour completion date. No claims from the passengers will be entertained by the company beyond seven days of completion of the tour. Also, the company shall incur no liability in respect thereof.

Jurisdiction:

For all claims, disputes of whatsoever nature relating to the tours operated, marketed / coordinated by Us., the courts in Dehradun, Uttarakhand, shall alone have jurisdiction and the laws of Republic of India shall apply.
